Build precise, proactive disclosure processes

Set an ethical tone by giving employees clear moments to submit, confirm or update disclosures. COI disclosure management software on the NAVEX One GRC platform helps you connect disclosures to onboarding, annual training and your broader risk and compliance program activity.

Customized disclosures

Customize disclosures around your policies

Your disclosure process should ask for the details your reviewers need. NAVEX One Disclosure Management helps you configure questionnaires by disclosure type, policy need and employee group, so each form reflects the risk being reviewed.

  • Tailor questionnaires for conflicts of interest, gifts, entertainment, family connections and other reportable activities
  • Ask targeted follow-up questions based on the disclosure type
  • Clarify policy expectations inside the disclosure process
  • Support onboarding, annual campaigns and in-year disclosure updates

Insightful reporting

Give employees a clear way to keep disclosures current

Annual campaigns set a baseline, but conflicts can change when an employee takes on outside work, receives a gift, changes role or develops a new business relationship. NAVEX One Disclosure Management helps employees update their disclosure status when circumstances change without waiting for the next campaign.

  • Capture new or changed disclosure details throughout the year
  • Allow authorized admins to submit disclosures by proxy with a clear audit trail
  • Keep amended responses saved and connected to the original disclosure
  • Reduce repeat follow-up with employee reminders and updates included in the workflow
  • Keep disclosure records up to date for regular review and reporting

Streamlined operations

Turn disclosure activity into usable risk data

Disclosure data is more useful when your team can see patterns, not just individual submissions. NAVEX One Disclosure Management reporting helps you understand where disclosure activity is happening and where your program may need closer attention.

  • View trends across COI and related disclosure types
  • Spot patterns by employee group, role, location or disclosure category
  • Monitor review status and disclosure volume
  • Generate reports for audits, leadership updates and program oversight

Improve efficiency

Reduce manual work without weakening review

Manual disclosure management makes it harder to collect consistent information, connect the dots and understand what still needs attention. NAVEX One Disclosure Management gives teams a more structured process for managing disclosure activity.

  • Replace spreadsheet-heavy tracking with automated disclosure processing workflows
  • Reduce duplicate follow-up by keeping context with the disclosure record
  • Identify which items need review or additional information
  • Manage disclosure activity in one system instead of separate files or inboxes

Clear workflows route every disclosure to the right reviewer

Different disclosures can require different review workflows. NAVEX One Disclosure Management helps teams configure workflows, assign reviewers and keep follow-up tied to the individual disclosure record.

With NAVEX One Disclosure Management, you can:

  • Set review paths for different disclosure categories, risk areas or review needs
  • Assign disclosures to the person or team responsible for assessment
  • Flag incomplete or delayed reviews with escalation notifications
  • Request missing details through direct messaging
  • Keep questions, responses and documents tied to the review
  • Track submission and review status in one place
  • Apply a consistent process across similar disclosures

COI disclosure management software FAQs

  • Who should complete a COI disclosure?

Employees should submit a COI disclosure if they have a potential conflict or reportable activity to declare.

Common examples include outside employment, family or personal relationships, gifts, entertainment, travel, board roles or vendor relationships. Some employees may need more targeted questions based on their role or risk exposure, especially if they influence vendor selection, hiring decisions, approvals or access to sensitive business information.

  • How often should employees update or reaffirm disclosures?

Employees should update a COI disclosure whenever a relevant circumstance changes. They may also be asked to reaffirm whether their disclosure information is still accurate during onboarding, annual disclosure campaigns or recurring attestations.

NAVEX One Disclosure Management supports annual campaigns, amended responses and in-year updates, so teams can keep disclosure records current throughout the year.

  • How should we handle gift and entertainment-related conflicts?

Treat gifts, meals, travel and entertainment as disclosure moments when they could influence, or appear to influence, a business decision. Have clear, accessible policies on what is allowed, what needs approval and what must be recorded – and in which system. Give your employees training and practical examples, especially for vendor or customer situations, so they can recognize what needs approval or disclosure before accepting or offering it. Make sure they also have an easy way to check the policy or ask for guidance when they’re not sure. For more on this, see our COI and corporate gift-giving toolkit.

  • How can we reduce administrative burden in COI management?

Reduce admin workloads by making disclosures easier to submit, review and track in one place. This cuts the work that usually eats time: chasing late responses, matching files to records, checking spreadsheets and rebuilding information for reports or audits.

Employees should know where to submit or update information. Reviewers should be able to see what needs action without searching emails, spreadsheets or shared folders. Automated reminders can support annual campaigns, while questions, documents and review notes stay with the disclosure. COI disclosure software can help you manage all these elements.

  • Can employees submit disclosures by proxy?

Yes, NAVEX One Disclosure Management software supports disclosures submitted by proxy. An authorized admin can select an option for “Complete by Proxy” when filling out a questionnaire, selecting the assignee and capturing the relevant disclosure information as well confirming as that they completed the form on the assignee’s behalf. This makes it much easier to have a consistent disclosure management process even when some individuals may be able to complete a disclosure form themselves.

  • How can technology help identify patterns we might otherwise miss?

Technology can better organize your disclosure data so your team can compare activity across submissions, departments, locations and campaigns.

For example, you might see recurring gifts from the same vendor, a rise in outside employment disclosures, or a cluster of similar conflicts in one team. Reporting and dashboards can help you find those patterns earlier and decide where policy guidance, training or review activity needs to be improved.

  • How do COIs connect to anti-bribery and corruption, third-party risk and regulatory expectations?

COIs involve the same decisions anti-bribery, anti-corruption and third-party controls are designed to protect: who gets business, who approves spend, how vendors are selected and how business relationships are conducted.

A family tie to a supplier, a financial interest in a partner or gifts from someone seeking business can all affect those decisions. Regulatory expectations apply because your organization is expected to have controls that reduce the risk of improper influence, bribery, corruption or third-party misconduct.

Keep disclosure risks in plain sight

From initial disclosure through review and reporting, NAVEX One Disclosure Management helps you manage potential conflicts with clearer workflows, better visibility and less administrative effort.
