Your Nira for Policy Guidance questions, answered

  • Is Nira for Policy Guidance generative AI?

    Yes. Nira for Policy Guidance uses generative AI through NAVEX’s implementation of large language models (LLMs). However, the experience is designed to be policy-grounded and controlled.  

    Nira does not generate answers from open-ended internet knowledge. Instead, it retrieves relevant content from the customer’s authorized policy and procedure documents and uses that content to generate a response. The model is configured for consistency, including setting the temperature to zero, which helps reduce creative or variable responses.

  • Does OpenAI (ChatGPT) have access to search queries? Are there any confidentiality risks for internal policies?

    Protecting the confidentiality of your organization’s information is a core design principle of Nira for Policy Guidance.  

    Nira uses Azure OpenAI Service, which provides a secure, isolated environment for customer data. Policy documents and user queries remain within the customer’s environment and are not used to train OpenAI’s public models. 

    Additional safeguards include: 

    • Data privacy and isolation: Customer documents and queries remain isolated and accessible only within the organization’s environment. 
    • Compliance: Azure OpenAI supports global and industry standards, including GDPR, HIPAA and ISO/IEC 27001. 
    • Encryption: Data is encrypted in transit and at rest, with additional network security and identity and access controls. 
    • Access controls: Nira respects the document access permissions configured in NAVEX One, ensuring users only receive answers based on content they are authorized to access.
  • Does Nira search all of an organization's policies, or can access be limited?

    No. Nira does not search all of an organization’s policies by default. Nira searches only the policy and procedure content available to the specific user asking the question, based on the NAVEX One Policy & Procedure Management (AKA PolicyTech) sites that user can access.  

    If a user has access to a PolicyTech site, Nira can search eligible published documents available through that site. If the user does not have access to a site, Nira does not use documents from that site when generating responses.  

    Restricted documents are not sent to Nira for processing. This means restricted content is excluded from Nira’s search and response generation process, even before user-specific retrieval occurs.  

    In short, Nira follows the same site-based access model already configured in NAVEX One Policy & Procedure Management and only uses eligible, accessible content when generating answers.

  • Does Nira only show documents an employee has access to in NAVEX One Policy & Procedure Management?

    Yes. Nira follows the same site-based access model configured in NAVEX One Policy & Procedure Management. 

    Nira only searches and returns eligible published policy and procedure content from the PolicyTech sites the user is authorized to access. If an employee does not have access to a site, Nira does not use documents from that site to generate answers or display supporting source documents.  

    Restricted documents are not sent to Nira for processing and are excluded from Nira’s search and response generation. This means employees only receive answers and supporting sources from eligible, non-restricted content they are authorized to access.

  • What information is stored or remembered by the AI?

    Nira may store information related to an interaction, including the user’s question, the response provided, user feedback and operational metadata needed to support the experience.  

    Within a single active chat session, Nira may use recent conversation context to support follow-up questions and provide a more natural experience. However, Nira does not retain conversational memory across separate sessions, and the AI model itself does not retain customer information after the interaction. 

    Stored interaction data is maintained in a secure NAVEX-controlled environment and kept separate from other customers’ data.

  • Can customers try Nira for Policy Guidance in a test environment before enabling it for all employees?

    Yes. Global Policy Administrators can test Nira for Policy Guidance before making it available across their organization.  

    Administrators can evaluate the experience using a dedicated test mode. Once they are confident Nira meets their organization’s needs, they can enable live access for employees through the authenticated Compliance Hub experience.  

    This testing capability is available for Policy & Procedure Management on the NAVEX One platform.
